It applies to visitors of our website, prospective clients who contact us, and clients who engage our PR services. It does not apply to third-party websites linked from our pages, including Google Maps when you choose to open external maps services from our contact page.

Public relations work often involves handling sensitive commercial information, spokesperson details, and media contact records. We treat client-confidential materials separately from personal data collected through this website, but both are governed by professional confidentiality standards and contractual terms agreed at engagement.

3.1 Website visitors

When you browse our website without contacting us, we do not automatically collect your name or email. If you use the contact form on contact.php, your browser posts to send.php and we receive your name, email address, chosen topic, and message. If you email us directly, we receive the address you send from, the subject, the message body, and any attachments you include. If you call, we receive the number presented by the network and whatever you choose to say during the conversation.

We may process technical data generated by your device and browser when you load pages — such as IP address, browser type, operating system, referring URL, pages viewed, and approximate timestamps — through server logs maintained for security and troubleshooting.

If you email or telephone us, we collect the personal data you choose to provide, which may include your name, organisation, job title, email address, phone number, and the content of your message. Telephone calls to our published number may be logged with caller ID where available.

3.2 Cookie and local storage data

We retain personal data only as long as necessary for the purposes described in this policy, unless a longer period is required by law or needed to establish, exercise, or defend legal claims.

Indicative retention periods: enquiry emails — up to twenty-four months if no engagement follows; client engagement records — duration of contract plus seven years for business records unless a shorter period is agreed; server security logs — typically up to ninety days; cookie consent records — up to one hundred eighty days aligned with cookie max-age, or until you clear cookies.

When data is no longer required, we delete or anonymise it using reasonable technical and organisational measures.

8. Security measures

We implement administrative, technical, and physical safeguards appropriate to the nature of the personal data we hold. Measures may include access controls limited to personnel who need data for their role, encrypted transport for email where supported, secure storage for engagement documents, and device policies for staff working remotely or on-site at Somerset.

If we cannot fulfil a request in full — for example because disclosure would reveal another person’s personal data or confidential client materials — we will explain the reason where permitted.
